User Manager

Here you can manage user’s access and permissions in CocoonOPS.

 Users with the System Admin or an Manager role can manager user accounts



This allows you to:
  • Create user accounts to login to CocoonOPS
  • Attach the user to an office (Quotes and consignments created by the user will default to this office)
  • Enable/disable user accounts
  • Add/remove users from departments
  • Assign roles to a user
User Roles Explained

Roles are used to give user accounts access to features of the system.

System AdminFull access to the system.
Only this role has access to the settings and add ons screens.
General OperatorNo Special Access
General ManagerHas access to reporting and user manager
Account ManagerGeneral sales operator
Sales ManagerHas access to reporting and user manager
Transport PlannerHas access to the transport module
Transport ManagerHas access to the transport module
Has access to reporting and user manager
FinanceHas access to the finance module
Finance ManagerHas access to the finance module
Has access to reporting and user manager
Address Book ManagerIs able to add/remove entries in the address book
Spending AuthorityUsers that are authorised to increase the spending with CocoonFMS

All users have access to the quotes and consignments modules as well as read access to the address book.


Enhanced Security

CocoonOPS supports two-factor authentication through TOTP authenticator mobile apps.

Our two-factor implementation is compatible with most TOTP MFA apps. This includes:

  • 2FAS (Recommended)
  • Google Authenticator
  • Microsoft Authenticator
  • Authy
  • LastPass Authenticator
  • Duo Mobile
  • FreeOTP

This section on the user’s account shows whether they are enrolled in two-factor authentication or not.


Idea
 We strongly recommend that all users enable two-factor authentication as this is the best way to protect your data from unauthorized access. 

User Licenses

At the top of the user manager, you can see how many user licenses your instance has and how many are used.

These are shown in brackets next to the user manager title as show below:

The first value is the current number of enabled users and the second number is the total number of allowed enabled users.

Only enabled users count towards your license usage.

If you have run out of user licenses, you will not be able to enable any more user accounts
