Xero Integration


Requirements

Warning
Before you integrate Xero with CocoonOPS, it's important to make sure your Xero account is set up correctly.

Our Xero connector works with Customers only. If your customer records are not correctly classified in Xero, the two systems will not communicate properly and Xero will reject the data being sent from CocoonOPS.

In Xero, each billing account must be set up as a Customer. The billing account code in CocoonOPS must also match the Account Number in Xero exactly. This is important, as it ensures invoices raised in CocoonOPS are assigned to the correct customer account in Xero.

If there is no exact match, CocoonOPS can create a new customer account in Xero automatically. However, for the smoothest integration and to avoid errors, we strongly recommend checking your customer records and account codes before connecting the two systems.

Taking the time to confirm these details at the start will help ensure invoices flow correctly between CocoonOPS and Xero, reduce the risk of rejected entries, and make the integration process much smoother.

Linking To Xero

Once we have enabled the add-on, you will need to link CocoonOPS to your company in Xero
This is done by:
  1. Going to the Add Ons screen in CocoonOPS
  2. Clicking on the [ LINK TO MY ACCOUNT ] button
  3. You will be taking to Xero
  4. Log in to your account if you are not already logged in
  5. Follow the on-screen instructions in Xero
  6. Once completed you will be redirected back to CocoonOPS

Linking Rates to Xero Accounts

Each rate that is included on an invoice is linked to an account in Xero.
This is done by linking the Revenue Account Code in the rates settings screen in CococonOPS with the Code of an account on the Chart of Accounts in xero.

Th account code and revenue account code must match  and the account must be a Revenue account type

Warning
If the account code does not exist of is not set as a revenue account type, invoices will not sync with Xero


Setting Up Tax 

You must set up tax rates with valid tax account codes for your country/region
The list of valid codes that can be used in the Accounting Code field are available here > 
Tax rates are managed in the Settings > Tax screen

Syncing Data With Xero

CocoonOPS will send data to Xero when an Invoice or Credit Note is marked as issued.
Xero will update the invoice status in CocoonOPS when the invoice is paid, voided or deleted. 


Linking Existing Customer Accounts

Customer account are linked to customers/contacts in Xero using the BILLING ACCOUNT code in the address book.
The account code from the address book must match the Account Number against the contact in Xero or a new contact will be created.
