Quotes Closing, Winning, Losing

Quote closing and how to manage winning, losing quotes and also Pricing Exercises.

Closing Quotes

To keep things organised you can close quotes that are no longer needed.

Wining Quotes

When you are informed that you have won a quote, two things need to happen:

  • The quote needs to be closed down
  • A new consignment needs to be created for the won business

Both tasks can be accomplished at the click of a button.

To close the quote as won:

  1. Select the quote to close
  2. Click the button on the right-hand side of all the tabs (Won Quote).
  3. Select the reason why the quote was one in the dialog box that appears (The reason can be managed through the settings section).
  4. Add a note if you need to
  5. Click the  button

The quote will be closed and moved to the Won Quotes list and CocoonOPS will automatically create a consignment from the quote.

When you view the consignment, you will be able to see the quote that was used to create the consignment.

Documents will only be attached to the consignment from the quote is this has been turned on by the system admin.

The reason for the closure and the email of the user that closed it and when will also be displayed on the instructions tab.

Loosing Quotes

When you are informed that you have lost a quote you can close it as lost by:

  1. Select the quote to close
  2. Click the "Lost Quote" button on the right-hand side of all the tabs
  3. Select the reason the quote was lost in dialog box that appears
  4. Enter a note if required
  5. Click the  button

The quote will be moved to the Lost Quotes list.

The reason for the closure and the email of the user that closed it and when will also be displayed on the instructions tab.

Pricing Exercises

If the quote turns out it was part of a pricing exercise you can close the quote as part of such and it will be moved to the Pricing Exercises list.

The quote can still be won or lost.

Effectively, closing the quote as part of a pricing exercise suspends the quote.

You can view the list of quotes that are part of pricing exercises by clicking on the  button the left-hand menu.

To close a quote as part of a pricing exercise:

  1. Click on the on the INSTRUCTIONS tab
  2. Click the  Pricing Exercise Option option
