Managing Consignments

The Consignments are managed through the  button on the INSTRUCTIONS tab.



To open a new Consignment:

  1. Click on the  on the left-hand side of the page
  2. Enter the instruction information provided by the customer. 
  3. Click the  button
Editing Instructions

To edit the instructions of a Consignment:

  • Click on the on the INSTRUCTIONS tab
  • Select the  option

Below is the new Consignment properties dialog.


BEST PRACTICE FOR MANAGING THE COLLECTION AND DELIVERY INSTRUCTIONS OF A SHIPMENT
The consignor and consignee should always be entered into the instructions for a shipment. 
If the collection location is not the same as the consignor's address, you can enter a collection address in the collection party. 
If no collection address is entered the consignor address will be used for the collection address (specifically in the origin demarcation location, which is the location where you begin managing the shipment transportation). 

If the delivery address is not the same as the consignee address, you can enter a delivery address in the delivery party. 
If no delivery parts is entered, the consignee address will be used for the delivery address (specifically the destination demarcation locations, which is the location when you stop managing the shipment transportation).



For each party the management functions are the same.

Click the  icon to use the address book to select the:

  • Organisation
  • Address
  • Contact

You can also enter a reference and a PO number.

Click the  button to attach the party information to the dialog box.

You can add organizations, addresses and contacts directly from the address book dialog. To do this click the  and select what you want to add.

To add an address or contact, you will need to select the organisation you want to add to first.

You can also click on the  icon, to manually enter an address or modify one from the address book

The minimum you will need to enter is the city and country
If you need to modify and address to match a document, you can select the address from the address book and then use the manual dialog box to edit it. This will not update the address boo entries.
Build Movements

Once you have entered the minimum amount of information on a consignment, CocoonOPS can help you start building the movements that allow you to manage the transport for your customer’s freight.

The minimum information required is:

  • Customer
  • Consignor or Collection address
  • Consignee or Delivery address
  • The ports the consignment will transit if it’s air or sea freight
  • Attach freight to the consignment

Once these are attached you can start building the movements for the consignment by:

  1. Click on the  on the INSTRUCTIONS tab
  2. Select the  option

You will then be taken to the Movements tab.

Confirm

When you have completed the planning of your movements, you can confirm the consignment.

This will:

  • Make your movements live
  • Update the status of the consignment
  • Generate an event on the EVENTS tab
  • Add an audit log entry, if audit logging is enabled for your instance
  • Generate a confirmation notification to your customer

To confirm a consignment:

  1. Click on the on the INSTRUCTIONS tab
  2. Select the  

The consignment will update immediately

Reload

You can reload all the screens for a consignment.

This allows you to see changes that another user or robot has made while you have the consignment open.

To reload a Consignment:

  1. Click on the  on the INSTRUCTIONS tab
  2. Select the  option
Locking

You can lock the Consignment.

This prevents any manual changes being made to the Consignment.

Only the user that locked the Consignment, or users with the System Admin role can unlock it.

To unlock the Consignment, click the  button.

Duplicating Consignments

You can duplicate a Consignment to create an identical Consignment.

To duplicate a Consignment:

  1. Click on the  on the INSTRUCTIONS tab
  2. Select the  option

A new Consignment will be generated, that is identical to the original. The newly created Consignment will immediately appear at the top of the Open Consignments list.

Cancel Consignment

If a Consignment is raised in no longer needed, you can cancel it by:

  1. Click on the  on the INSTRUCTIONS tab
  2. Select the  option
  3. Click the  button in the confirmation box that appears
When a consignment is cancelled, any linked movements and customs declarations are automatically cancelled.
